Position Summary
We are seeking a highly organized and proactive Administrative Manager with a minimum of 3 years of management experience supervising at least five employees and 5–7 years of experience as an Executive Assistant. This role oversees daily administrative operations while providing high-level executive support. The ideal candidate will ensure efficient office management, lead a team, and support senior leadership with strategic and administrative initiatives.
This position operates on a hybrid schedule, combining in-office and remote work, and offers eligibility for performance-based bonuses and company profit-sharing programs.
Key Responsibilities
- Supervise, mentor, and coordinate the daily activities of 5+ administrative staff members
- Plan, organize, and manage overall office operations to ensure efficiency and productivity
- Develop and implement administrative policies and procedures to streamline workflow
- Oversee budgeting, expense tracking, and resource allocation
- Manage vendor relationships, service contracts, and office supply procurement
- Manage executive calendars, schedule meetings, and coordinate appointments
- Arrange travel accommodations, itineraries, and process expense reports for executives
- Draft, edit, and prepare correspondence, presentations, and reports on behalf of leadership
- Serve as a primary point of contact between executives and internal/external stakeholders
- Coordinate executive meetings, including agenda preparation, meeting materials, and follow-up action items
- Maintain confidential records and sensitive information with discretion
- Lead process improvement initiatives to enhance operational effectiveness
- Monitor project timelines and ensure administrative support aligns with organizational goals
Required Qualifications
- Bachelor’s degree in Business Administration, Management, or related field (preferred)
- Minimum 3 years of management experience supervising at least 5 employees (required)
- 5–7 years of experience as an Executive Assistant supporting senior leadership (required)
- Strong leadership and team coordination skills
- Excellent organizational and multitasking abilities
- Advanced proficiency in Microsoft Office Suite and office management software
- Strong written and verbal communication skills
- Experience managing budgets and tracking expenses
- High level of professionalism, discretion, and attention to detail
