We are looking for a Part-Time Administrative Assistant to join our team fully onsite in Newburyport, MA. In this onsite role, you will play a crucial part in maintaining smooth operations within a small office environment. This contract-to-permanent position offers the opportunity to work closely with financial experts while contributing to essential administrative and client service tasks.
Responsibilities:
• Provide administrative support by organizing schedules, managing correspondence, and maintaining office records.
• Assist with financial documentation and ensure accurate data entry within CRM systems.
• Perform customer service tasks, including responding to inbound calls and emails.
• Coordinate appointments and meetings, ensuring all necessary arrangements are completed.
• Utilize Microsoft Office tools such as Excel, Word, Outlook, and PowerPoint for various administrative tasks.
• Conduct mail merges and prepare reports as needed.
• Maintain clear and precise communication with clients and colleagues to support a positive work environment.
• Collaborate with team members to ensure efficient workflow and timely completion of tasks.
• Strong understanding of financial terminology and processes to effectively support the team.
• Proficiency in CRM systems, particularly Wealthbox, and Microsoft Office Suite.
• Excellent organizational and multitasking abilities.
• Strong written and verbal communication skills.
• Ability to manage inbound and outbound calls professionally.
• Demonstrated experience in scheduling and coordinating appointments.
• High attention to detail and accuracy in data entry and documentation.
