Position Summary

This is a one-year position through June 30, 2026

The Advancement Office Assistant plays a vital role in supporting the mission and daily operations of the Dublin School Advancement Office. This full-time, year-round position is ideal for a detail-oriented, highly organized individual with strong communication and project management skills. The successful candidate will be a proactive team player who thrives in a fast-paced environment, enjoys building relationships, and demonstrates a high level of discretion and professionalism. This position offers an exciting opportunity to contribute to fundraising efforts, donor relations, event planning, and data management as part of a dynamic and collaborative team.


Key Responsibilities

Administrative Support

  • Perform clerical duties including some data entry, letter formatting, printing, scanning, general correspondence, filing, and bulk mailings
  • Maintain office cleanliness and ensure adequate supplies are available

Database & Donor Management

  • Maintain and update constituent records in Blackbaud Raiser's Edge NXT
  • Ensure database accuracy, run reports, generate mailing lists, and track donor activity
  • Research and update lost addresses and gather constituent data via phone, email, or in-person

Event Support

Assist in the planning and execution of Advancement events, including:

    • Receptions
    • Book club meetings
    • Reunions
    • Donor recognition events
    • Track RSVPs, prepare materials, and help manage event logistics

Communications

Assist with content and list creation for:

    • Weekly newsletter
    • Annual Report of Giving
    • The Dubliner alumni magazine

Cross-Departmental Coordination

  • Collaborate with other departments and constituents as needed
  • Perform additional projects and tasks assigned by Advancement leadership
  • Serve as an engaged and supportive member of the larger school community

Qualifications & Requirements

  • Strong organizational and time management skills
  • Exceptional accuracy and attention to detail
  • Ability to meet deadlines and follow through on assigned tasks
  • Proficient in Microsoft Office, email platforms, and database software
  • Self-starter who thrives in a dynamic environment with shifting priorities
  • Valid driver's license and ability to pass a background check
  • Proof of authorization to work in the United States full-time
