Job DescriptionPosition OverviewThe Administrative Assistant is responsible for providing comprehensive administrative and office support to the office personnel and construction crew. This role encompasses a variety of tasks, including answering telephone calls, receiving and directing visitors, interacting with tenants, performing data entry, creating spreadsheets, and handling filing duties.
General Responsibilities
Office Administration
· Answer and direct incoming phone calls.· Maintain organized filing systems.· Greet and assist visitors upon arrival.· Order and manage office supplies.
Property Management Support

- · Keep property management software updated with the latest tenant information and payment records.
- · Assist with the eviction process as needed.
- · Track job progress and maintain records.
- · Update contracts for property management customers.
- · Revise and update lease agreements as necessary.
- · Create and manage work orders for property-related tasks.
- · Facilitate the onboarding process for new tenants and properties
Construction Department Support
- · Maintain and update the construction department schedule.
- · Coordinate with customers to arrange scheduling for construction projects.
- · Input receipts and time tracking information into relevant systems.
Preferred Qualifications
· Minimum of two years of office experience.· Experience in a real estate or property management office is highly desirable.· Proficiency in Microsoft Office applications.· Ability to work effectively in a high-stress environment.· Strong multitasking skills and the ability to manage multiple tasks simultaneously.
