Position Summary
The Visitor Access & Administrative Operations Coordinator provides high-quality customer service and administrative support to the Military & Family Readiness Center (M&FRC) at Hanscom Air Force Base. This position serves as the first point of contact for clients, offering accurate information, directing inquiries, and supporting a variety of programs through data management, appointment coordination, and client communications. You must be able to work onsite at Hanscom Air Force Base.
Duties shall include, but are not limited to the following:
- Serve as the Visitor Access & Administrative Operations Coordinator by answering telephone calls, greeting visitors, determining the nature of visits, and directing clients to the appropriate M&FRC program staff.
- Raise awareness of M&FRC programs and services while managing front desk traffic.
- Schedule clients for M&FRC classes, workshops, and Transition Assistance Program (TAP) sessions; send email reminders in accordance with program manager instructions.
- Enter data into web-based systems including AFFIRST and DoD TAP, ensuring all required information is current and accurate.
- Maintain the appearance and organization of the front desk area, aligning chairs, restocking materials, and reporting inoperable equipment.
- Ensure all clients sign in and generate monthly client usage reports in a format directed by M&FRC management.
- Safeguard government equipment and materials; properly secure government facilities and assets at the end of each work period.
Position Qualifications
- High school diploma or equivalent required.
- Minimum of one (1) year of customer service experience required.
- Basic understanding of military structure, terminology, and support resources.
- Business casual attire is required while performing duties in person.
- Available to work Monday through Friday, 7:00 AM 4:00 PM.
- Impeccable customer service skills.
- Read, speak, and understand the English language fluently.
- Expertexperience using Microsoft Office Suite and Adobe tools and systems to include Excel, Project, Teams, SharePoint, Word, and PowerPoint.
- Must be eligible for a Common Access Card (CAC).
- Completion of initial and ongoing security training is required.
- Must meet client suitability.
