We’re looking for a Membership Billing Manager who is both a strategic thinker and a hands-on leader—someone who can connect systems, people, and data to strengthen our operations and enhance the experience of the families we serve.

The Membership Billing Manager plays a critical leadership role overseeing Accounts Receivable and Membership functions while serving as a key liaison with the New Hampshire Childcare Department. Reporting directly to the CFO, this position operates with a high degree of independence, initiative, and strategic input.

Duties

Membership/Family Communication

  • Maintains a high level of proficiency in specialized software to enhance the operational efficiency of the organization.
  • Manages and maintains the current Daxko database system; oversees its maintenance.
  • Has a full understanding of the DHHS child care billing policies, BGCA rules, and the Club’s internal policies, procedures, and programs to create, update, and maintain membership forms and waivers.
  • Responsible for ensuring that the organization stays informed regarding the latest enrollment numbers, membership procedural changes, software updates, and required database training.
  • Ensures that the organizational-wide member activity data is entered correctly.
  • Serves as a primary liaison between programs and the Safety committee, and enhances the database for injury/incident reporting.
  • Serves as primary contact for DHHS for both licensed and licensed exempt divisions, and disseminates information to leadership as deemed necessary.
  • Supports department staff with family communication as needed.

Accounts Receivable

  • Develops and executes effective procedures and processes to optimize best billing and collections practices.
  • Addresses and corrects any discrepancies in accounts or billings.
  • Manages web billing through the State of NH for childcare assistance.
  • Responsible for managing AR balances, approving write-off amounts, and monitoring that claims and payments are processed accurately and timely.
  • Oversees and approves negotiated acceptable payment plans.
  • Approves internal member scholarships and third-party scholarships.
  • Provides and/or facilitates accurate reports and analysis on financial data and metrics such as cash forecasting, membership statistical information, and weekly and monthly net revenue reports.
  • Provides the CFO and Senior Accountant with analysis of data and reports.
  • Organizes monthly meetings with staff to communicate information and guidance from company leadership and to review policies, procedures, and best practices.
  • Performs other duties as assigned.

Customer Care Receptionist

  • Provides backup for the duties of the customer care receptionist.



Requirements

  • Associate degree in Business, Accounting, or related field preferred (or equivalent experience).
  • Minimum of 3 years of relevant experience.
  • Strong knowledge of accounts receivable, billing practices, and financial reporting.
  • Prior experience working with childcare management platforms (e.g., Daxko, ProCare, or comparable systems) strongly preferred.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving abilities.
  • Effective leadership and supervisory experience.
  • Outstanding interpersonal and customer service skills.
  • Ability to maintain confidentiality and work with diverse populations.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office and database systems.
  • Ability to work independently and exercise sound judgement.
  • Willingness to travel occasionally between program locations.

  • All of the candidates who are offered a job with the Boys Girls Clubs of Central and Northern New Hampshire will have to submit for an FBI fingerprint background check and submit to a background check through the State of NH Criminal Records Dept. and First Advantage. Note: The State of NH Childcare Licensing Bureau may prohibit you from being employed by the Boys Girls Clubs of Central and Northern New Hampshire should there be a disqualifying finding on your criminal record. In addition, even if the State of NH reviews your records and allows you to work at the Club, we still reserve the right to determine your employment status.
