The Benefits Administrator is responsible for a variety of responsibilities within the HR Department including but not limited to handling all employee benefits. Related responsibilities include various HR related assignments including but not limited to recruiting, workers’ compensation, employee relations and maintenance of the various support software necessary. This position reports directly to the Director of Human Resources and the Assistant Director of Human Resources. Position can involve occasional travel.
It is a non-exempt full-time position. Hours of work are 9 AM to 5 PM Monday through Friday, or as required by supervisor. Overtime can be required on short notice.
Educational/Work History Requirements:
- Associates degree with a course concentration in Secretarial Science, Management or equivalent combination of education and experience.
- One to three years experience in a Personnel/Human Resource Department in increasingly responsible positions.
- Stamina and physical endurance for elongated business days and exceedingly demanding business schedule.
- Candidates should possess excellent problem solving, analytical, communication, and interpersonal skills.
- Must be able to function with moderate supervision.
- Extensive exposure to PC software/hardware.
Essential Duties of the Position:
- Completes special projects at the request of the Director of HR or Assistant Director of HR.
- Responsible for assuming duties of vacationing or on leave Human Resources staff.
- Answers inquiry calls to the Human Resources Department, (i.e. reference checks, ad calls, appointment setting for interviews.) as needed.
- Updates master form file for the Human Resources Department.
- Order booklets and forms from health/dental care providers as well as other benefit related materials.
- Responsible for meeting with staff to discuss scheduling conflicts and absences due to illness or injury.
- Process all FMLA/LOA paperwork and related documentation.
- Follow-up on staff sick calls as needed.
- Responsible for accuracy and copying of Human Resource correspondence (i.e. applicant letters, reference requests, DET forms, physicians’ release, etc.)
- Notify employees of eligibility for health/ dental benefits and assist them with completion of necessary applications.
- Helps update the ADA job descriptions as necessary and directed by Director of Human Resources.
- Ensures that the Human Resource file system is complete and updated periodically.
- Administration of the health and dental benefit/ COBRA system correspondence, informational packets, completion of applications, verification of billings.
- Responsible for tracking and authorizing vacation/ personal time requests.
- Maintenance of various staff lists, and computerized programs that support the personnel department.
- Responsible for monitoring, distributing, and logging of keys.
- Updates employees’ attendance records for late arrivals, leave early occurrences, absences due to sickness or vacation, and leaves of absence.
- Create memos/ newsletter articles, at the Director of Human Resource’s request.
- Interview direct care/ office support applicants as needed.
- Responsible for processing and maintenance of work-related injuries in the absence of the Assistant Director of HR.
- Responsible for reading posts on the Discussion Board. Required to post a minimum of 1 message per 2 weeks on the Discussion Board.
- Responsible to carry out any additional duties as assigned by supervisor.
- Responsible for reporting abuse to JRC and appropriate agencies.

- Current knowledge of Federal and State labor regulations and requirements governing personnel/payroll issues, including but not limited to ADA, EEO RI and Massachusetts Labor Regulations, etc.
- Exhibit excellent written communication skills.
- Proficiency with PC software/hardware word processing, spreadsheet capabilities, and publishing/editing software.
- Exhibit a professional appearance and demeanor.
Physical Demands of Position:
- Ability to communicate clearly and concisely in English.
- 20/20 vision or correctable to 20/20 with corrective lenses.
- Ability to stand and walk for at least 50% of the work day.
- Ability to sit for at least 50% of the work day.
- Valid driver’s license. Travel to meetings or seminars is required.
- Ability to lift, pull, push up to 75 pounds. Transporting audio-visual equipment to job fairs/colleges is required.
