This is a hybrid role based out of Massachusetts that offers flexibility, with most of your work being remote. Occasional travel to client sites and company offices will be required. Candidates must reside within a reasonable driving distance of Massachusetts.

Position Summary

\n

The Document Controls Specialist supports New England electric utility capital delivery projects by coordinating, organizing, and maintaining project documentation throughout the project lifecycle. This role helps ensure project records are accurate, current, properly versioned, and stored in accordance with established standards and procedures.

\n

The ideal candidate is detail-oriented, dependable, and comfortable working within defined processes while supporting project teams in a fast-paced environment.

Key Responsibilities

\n

Document Management

\n

    \n
  • Receive, review, and process project documentation in accordance with established document control procedures.
  • \n

  • Maintain document registers and supporting records, including document numbers, revisions, approvals, ownership, and storage locations.
  • \n

  • Upload, distribute, and archive approved project documents within Procore and other document management platforms.
  • \n

  • Perform routine quality reviews to verify accuracy, completeness, and compliance with project requirements.
  • \n

  • Maintain proper version control and ensure approved records are stored in the correct locations.
  • \n

  • Support document migration, project closeout activities, and records retention requirements.
  • \n

Project & Team Support

\n

    \n
  • Monitor document workflows, approvals, submissions, and outstanding actions.
  • \n

  • Coordinate with project managers, project controls, engineering teams, contractors, and other project stakeholders.
  • \n

  • Respond to document requests and assist project teams in locating current approved documentation.
  • \n

  • Support project startup activities, including system setup, approved templates, distribution lists, and user access management.
  • \n

  • Attend project meetings and provide updates related to document status, risks, and outstanding items.
  • \n

  • Escalate document control issues involving access, compliance, quality, or version control when necessary.
  • \n

Compliance & Continuous Improvement

  • Maintain confidentiality and comply with applicable document management standards and project requirements.
  • \n

  • Support audits, project reporting efforts, and records reviews.
  • \n

  • Utilize approved templates, procedures, and reference materials.
  • \n

  • Assist with process enhancements, reference guides, and document control best practices.
  • \n

  • Promote consistent file structures, naming conventions, and recordkeeping standards across projects.
  • \n

Qualifications

\n

Required

\n

    \n
  • 1 to 3 years of experience in document control, records management, project support, construction, utilities, engineering, infrastructure, or capital delivery environments;
  • \n

\n

OR

\n

    \n
  • Bachelor's degree or equivalent education in Information Management, Library Science, Technical Writing, Business Administration, Construction Management, or a related field.
  • \n

  • Strong organizational skills and attention to detail.
  • \n

  • Ability to manage multiple priorities and meet deadlines.
  • \n

  • Strong written and verbal communication skills.
  • \n

  • Ability to work collaboratively with internal and external stakeholders.
  • \n

  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • \n

  • Ability to learn and navigate electronic document management systems.
  • \n

\n

Preferred

\n

    \n
  • Experience with Procore, SharePoint, or similar electronic document management systems.
  • \n

  • Previous utility, construction, infrastructure, or project delivery experience.
  • \n

  • Experience maintaining document registers, workflows, permission structures, or controlled document libraries.
  • \n

  • Familiarity with document approvals, transmittals, version control processes, and project closeout documentation.
  • \n

\n

Technical Skills

\n

    \n
  • Microsoft 365 Suite, including Word, Excel, Outlook, Teams, and SharePoint.
  • \n

  • Procore or comparable document management platforms.
  • \n

  • Adobe Acrobat and PDF review tools.
  • \n

  • Experience working with document registers, metadata, file naming standards, and structured folder systems.
  • \n
