Job Description

Job DescriptionJob Overview: Pay Range: $25.65hr - $30.65hr

  • Provide administrative support to senior leadership and Safety Division staff.
  • Assist in preparing presentations, reports, and documentation.
  • Coordinate printing services and manage document signature processes.
  • Draft agendas, itineraries, and official correspondence.
  • Schedule and coordinate internal and external meetings and maintain departmental calendars.
  • Manage office supplies including ordering, inventory tracking, and distribution.
  • Prepare and distribute meeting minutes, memos, and communications.
  • Support training programs and events including coordination, communication, and logistics.
  • Assist with document management processes including file organization and template standardization.
  • Serve as the primary point of contact for visitors.
  • Handle special projects and assignments as directed by leadership.
  • Support organizational goals by enhancing administrative processes and efficiency.

Requirement/Must Have:

  • Experience in administrative support and coordination.
  • Strong calendar management and meeting scheduling experience.
  • Excellent written and verbal communication skills.
  • High attention to detail and organizational skills.
  • Ability to multitask and manage priorities effectively.
  • Proficiency in Microsoft Office tools.

Responsibilities:

  • Manage administrative operations and executive support tasks.
  • Coordinate meetings, events, and communications.
  • Maintain records, documentation, and office supplies.
  • Support training sessions and organizational events.

Skills:

  • Advanced proficiency in Microsoft Excel for data analysis and reporting.
  • Proficiency in Microsoft Word, PowerPoint, and other office tools.
  • Strong organizational and planning skills.
  • Effective communication and interpersonal skills.
  • Problem-solving and time management abilities.

Qualification And Education:

  • Bachelor’s degree preferred or equivalent work experience.
