Accounting Assistant
Position Summary
We are seeking a dependable, detail-oriented Accounting Assistant to support our daily accounts receivable, payment-processing, reporting, and collection activities. This position works closely with the Accounting Manager, Customer Service, Shipping, customers, and banking partners to ensure transactions are processed accurately and promptly.
Primary Responsibilities
Daily Payment Processing
- Run and review the daily bank report.
- Apply incoming wire payments and prepare associated invoices or vouchers.
- Process cash receipts and accurately apply customer check payments.
- Use the check-deposit system to scan and submit checks to the bank.
- Print and review daily credit card reports.
- Process customer credit card payments through Authorize.net.
- Notify Shipping when an order is approved or not approved for release.
- Calculate daily credit card totals, separating American Express transactions from all other card types.
- Research declined credit card transactions and coordinate resolution with Customer Service.
- Apply credit card payments at the end of the day or the following business day.
- Print the Authorize.net batch report each morning and reconcile it with the processed transactions.
- Process incoming and outgoing wire activity through the bank and accurately voucher and apply each transaction.
Reports and Statements
- Prepare and email daily representative logs.
- Run and distribute the Daily Summary report.
- Run and distribute the Gen-Sum report.
- Prepare customer statements upon request.
- Complete the Weekly Activity Summary.
- Prepare billing-by-representative reports in the middle and at the end of each month.
- Prepare monthly statements for foreign distributors.
Accounts Receivable and Customer Support
- Perform daily collection activities using the Aged Trial Balance.
- Complete credit checks and customer reference requests as needed.
- Maintain professional and helpful communication with customers.
- Research and resolve customer account or payment questions.
- Work collaboratively with Customer Service, Shipping, and Accounting to resolve payment-related issues.
- Provide department coverage during the Accounting Manager’s or supervisor’s absence.
- Perform other related accounting and administrative duties as assigned.
Qualifications
Education
- High school diploma or equivalent required.
- Formal instruction or training in Microsoft Word preferred.
- Additional coursework or experience in accounting, bookkeeping, or business administration is a plus.
Technical Skills
- Basic computer and data-entry skills.
- Working knowledge of Microsoft Word and Excel.
- Ability to work comfortably within a Windows operating system.
- Ability to learn and use accounting, payment-processing, and banking systems, including Authorize.net.
- Ability to operate standard office equipment, including scanning, mailing, and document-processing equipment.
- Strong numerical accuracy and attention to detail.
Communication and Interpersonal Skills
- Effective written and verbal communication skills.
- Friendly, courteous, and professional telephone manner.
- Strong customer-service and problem-solving abilities.
- Ability to communicate professionally with customers and coworkers.
- Ability to organize and prioritize multiple daily, weekly, and monthly deadlines.
- Ability to handle confidential financial and customer information appropriately.
- Dependable, accurate, and able to work independently as well as part of a team.

Reports to the Accounting Manager
Payrate: $26-28 (hourly)
