Job Description
The function of the Manager of Pharmacy Operations will involve oversight of all tasks being performed in the pharmacy production departments and management of the process flow, staff assignments, staff supervision and handling of patient escalations or client issues as needed. Reporting directly to the President of AWP HealthCare, this role is directly responsible for the daily clinical operations of the entire pharmacy department and the management of personnel including Staff Pharmacists, Inventory Specialists, Pharmacy Technicians, and Courier Services. This role acts as the designated Manager of Record/ Pharmacist in Charge for all states in which AWP Pharmacy- Billerica holds a valid, active pharmacy license.
The Manager of Pharmacy Operations will create, update, approve and distribute a comprehensive policy and procedure library. This role will be responsible for coordinating and training of all pharmacy staff as well as cross functional training of non-pharmacy personnel where applicable. The Manager of Pharmacy Operations will monitor staff and department metrics and use data to drive improvements for staff enhancement of clinical and operational capabilities.
What You’ll Do
· Act as Manager of Record Pharmacist in Charge for AWP Pharmacy’s Billerica location for all states in which the pharmacy holds a valid, active pharmacy license
· Manage the daily operations of AWP’s Pharmacy Production Department, including oversight of pharmacy supervisors, staff pharmacists, inventory specialists, pharmacy technicians, pharmacy technician trainees, and pharmacy interns
· Indirect oversight of all operational pharmacy technicians and support staff
· Work with the Pharmacy Management Team to select and hire pharmacy staff including pharmacists, technicians, and support staff.
· Ensures staffing levels are appropriate to meet departmental service level agreements and maintain regulatory required pharmacist:technician ratio at all times
· Monitor daily workflow, prioritizing and reassigning employees as needed to meet AWP Service Level Agreements
· Ensure complete regulatory compliance is maintained to both State and Federal Laws and Regulations
· Develops, implements, monitors and participates in Quality Assurance activities within the department and throughout AWP.
· Participate in continuing quality improvement activities for all staff including identifying opportunities for staff education and process improvements
· Manage all pharmacy production environment technology including but not limited to packaging machines and automated dispensing devices
· Ensure strict compliance with all standardized professional policies and procedures
· Duties and responsibilities relative to Performance Improvement Plans include:
o Assisting with the overall development and implementation of employee Performance Improvement Plans as needed
o Assisting in the identification and documentation of performance improvement expectations
o Coordinating, participating in, and reporting of all education and activities included in the Performance Improvement Plan and outcome
· Assist with the development, application, analysis, and feedback of clinical performance measurement indicators, processes, and audits
· Works with Pharmacy Inventory Team to minimize inventory waste and write-offs
· Ensure drug recalls are reviewed and processed in a timely manner, including documentation as required detailing the disposition of such drugs.
· Works with the Pharmacy Management Team to conduct regulatory required inventories, investigate potential drug losses, and report confirmed drug losses as required per law
· Proactive in addressing issues or service concerns requiring inter-department or intradepartmental coordination and flagging areas of opportunity
· Implement corrective action plans to solve organizational and departmental problems
· Engage internal stakeholders as needed to develop and implement corrective action plans for identified areas of non-compliance or improvement
· Works with relevant internal departments to develop and maintain standard policies and procedures.
· Perform all duties of a staff pharmacist including
o Drug utilization review of patient prescriptions
o Final verification of patient prescriptions
o Consultation with patients and providers to resolve clinical concerns
o Prescription Drug Monitoring Program review when applicable
o Provide clinical/drug information and counselling to AWP customers
o Provide drug information, including adverse drug reactions and contraindications.
· Ensure and encourage a high level of patient service from all employees
· Evaluate workflow processes to improve efficiency.
· Oversees daily pharmacy operations to ensure the pharmacy is maintaining the highest level of clinical effectiveness while keeping service commitments whenever possible
o Ensure that clinical and patient performance indicators of quality and production are monitored and continuously improved
· Manage weekly and monthly schedule of direct reports, approve Paid Time Off requests, and ensure adequate staffing levels are maintained in the pharmacy at all times.
· Ability to achieve a satisfactory resolution to real-time patient, prescriber, and client issues
· Responsible for the maintenance of training programs for all production pharmacists and pharmacy interns. Assists in the development and delivery of training content as needed for policy and procedural changes.
· Mentoring pharmacists, pharmacy management team, and pharmacy interns to increase their clinical, operational, counselling and management skills.
· Planning New Facility onboarding by assessing daily/weekly workload to schedule new facility cycle dates and assessing staffing needs based on new pt/ facility onboarding numbers
· Other duties as assigned
What You’ll Need to Succeed
Knowledge/Education:
- Doctor of Pharmacy Degree
- Registered Pharmacist (5+ years preferred)
- Experience in prior management role leading a team of employees
- High volume retail, long term care, or mail-order administrative and management experience
- Computer system knowledge and pharmacy technology experienced
Skills and Abilities
- Excellent organizational and communication skills both orally and written

- Ability to work cooperatively and collaboratively to drive operational improvements
- Ability to work a flexible schedule consisting of days, evenings and weekends
- High degree of regulatory and clinical knowledge
Physical Demands/Working Conditions:
- Work is typically performed in an office environment with some physical demands such as: sitting for long periods of time (6-8 hours per day) bending, stretching, lifting, typing, speaking, hearing, handling, lifting up to 20 lbs., near acuity/clarity with or without correction, subject to inside environmental conditions but not necessarily from temperature changes, subject to moderate noise, and normal exposure to everyday risks and discomfort requiring common safety precautions.
