What we’re looking for:
The Concrete and Aggregate Bid Coordinator is responsible for managing the bidding process for concrete and aggregate projects, ensuring accurate and timely preparation of quotes and proposals for both new and existing customers. This role supports the sales team by reviewing project plans and specifications, performing material takeoffs, and coordinating with internal departments to gather pricing and product information. The Bid Coordinator maintains strong relationships with contractors, project managers, and other stakeholders to deliver competitive bids and support customer needs throughout the pre-construction phase. A strong attention to detail, organizational skills, and professional customer service are key to success in this role.
Duties:
- Coordinate and prepare accurate bids and quotes for concrete and aggregate projects by reviewing specifications, drawings, and customer requests.
- Serve as a key customer liaison by answering incoming calls, addressing inquiries, discussing project details, and offering product solutions.
- Maintain and manage job files, track active bids, and update project records from quote to project completion.
- Collaborate with the Quality Control team and other internal departments to complete internal job sheets and ensure project requirements are met.
- Accurately relay mix design information to the Quality Control team.
- Lead weekly invoicing processes and ensure billing accuracy for sales transactions.
- Research upcoming advertised projects, construction leads, and bidding opportunities to support business growth.
- Maintain the monthly sales board and assist in reporting project pipeline status to the team.
- Participate in the development and execution of territory sales strategies to meet company goals.
- Support customer communications regarding annual price changes through calls, emails, and formal letters.
- Provide timely notification to internal departments regarding prevailing wage requirements or other project-specific details.
- Coordinate internal communication via daily sales conference calls and follow-up emails to ensure alignment across departments.
- Attend industry events and tradeshows as needed to support sales efforts and customer engagement.
- Foster strong customer relationships by assisting with problem resolution and coordinating with the appropriate departments to provide timely solutions.
- Share sales leads with team members across different Carroll Concrete product lines to encourage cross-selling opportunities.
- Support the negotiation and review of contracts and purchase orders under the guidance of the sales team.
Other job duties:

- Represent our Company in a positive and professional manner
- Work safely, wear proper personal protective equipment as necessary
- Notify manager of any work-related injuries or accidents immediately
- Other duties and tasks as assigned or as necessary
Education:
- Associates Degree or equivalent combined with a minimum of 5 years sales experience. (2-3 years of industry related experience is preferred.)
Skills:
- Must be computer literate, with strong skills in Word, Excel, and PowerPoint.
- Must work well under pressure and time constraints and can work independently or with a team of people.
- Must have excellent time management skills, exceptional interpersonal and communication skills and have a strong sense of professionalism, as well as the willingness to work long and flexible hours, as necessary.
- Must be willing to continue to learn and adapt as the position changes.
- Consistent and proficient use of all software utilized in this position
Restrictions:
- Must be able to use office equipment effectively and efficiently.
- Must be able bend, lift or maneuver 1-10lbs as necessary.
- Must be able to sit for extended periods throughout the workday.
- Must be able to work flexible hours, as necessary. Some evening and weekend work may be required.
- Appropriate Company attire is required.
Schedule: We guarantee 40 hours all year round! Voluntary layoff accepted. Must be able to work flexible hours as necessary. Some Saturday work required
