Roles and Responsibilities

Overview: The Development Operations & Events Manager functions as the operational hub of Breaktime’s Development team, ensuring the systems, data, and donor experiences that power the organization’s fundraising program run smoothly and strategically. The manager directs all core development operations—overseeing gift entry and acknowledgment, maintaining data integrity in Salesforce, creating and refining SOPs, and producing revenue dashboards and forecasts. By delivering timely, accurate analytics and insights, the role equips senior leadership to set targets, allocate resources, and assess performance against Breaktime’s annual and multi-year fundraising goals.

Beyond data stewardship, the manager plays a central role in donor relations. The position designs and executes proactive stewardship plans — from prompt, personalized acknowledgments to tiered engagement touchpoints — and supports recurring giving and loyalty programs that cultivate long-term philanthropic partnerships. Collaborating closely with Finance, Communications, and Program teams, the manager ensures donor communications are both fiscally sound and mission-aligned, translating Breaktime’s impact into clear, compelling messages.

The role is also accountable for conceiving and delivering mission-centric events that elevate Breaktime’s brand and deepen supporter commitment. Responsibilities include full-cycle project management—setting budgets, securing venues and vendors, coordinating volunteer committees, and implementing post-event ROI analysis—across large-scale galas, campaign launches, small cultivation gatherings, and virtual experiences.

Success in this multifaceted position requires a balance of analytical rigor, creative problem-solving, and impeccable project management discipline. The ideal candidate is equally comfortable manipulating data sets and crafting donor touchpoints, anticipates challenges to data integrity or event logistics, and brings an inclusive, donor-centric mindset to every interaction. All work must exemplify Breaktime’s core values of Young Adults First, Radical Inclusion, and Collaborative Innovation, ensuring that every donor experience is timely, meaningful, and reflective of the organization’s commitment to ending young adult homelessness.

Responsibilities:

  • Development Operations, Relations & Data Management (65%)
    • Administer and manage Salesforce, including gift entry, pledge tracking, gift acknowledgment production, duplicate resolution, and regular reconciliation with Finance and the Vice President of Development.

    • Maintain and enhance standard operating procedures to ensure data accuracy and regulatory compliance, and train staff on best practices for utilizing the CRM system.
    • Develop and distribute revenue forecasts, KPI dashboards, and board-level reports; proactively advise the Vice President of Development on risks and opportunities.
    • Track and process critical donor and gift data from third-party platforms (e.g., Fidelity Charitable, Benevity, BoA) to ensure accurate donor information, reporting, and stewardship.
    • Research potential donors, foundations, and other development opportunities to explore.

    • Assist with the creation of a comprehensive stewardship program that appropriately and consistently promotes interaction with and recognition of donors giving at all levels of the organization.
    • Manage and maintain Breaktime’s new donor and recurring gift programs to ensure accuracy, stewardship, and retention.
    • Answer general development phone and email inquiries.
  • Event Strategy & Execution (30%)
    • Plan and execute all donor-facing events (e.g., annual gala, Giving Tuesday, cultivation tours, and intimate major donor gatherings).
    • Create comprehensive project plans, timelines, budgets, and run-of-show documents; negotiate and manage venue and vendor contracts.
    • Serve as on-site lead to ensure seamless logistics, superior guest experience, accurate data capture, and effective volunteer coordination.
  • Departmental Project & Calendar Management (5%)
    • Maintain the master Development calendar, inclusive of grant/report deadlines, event milestones, and pledge-reminder schedules; issue weekly meeting briefings.
    • Evaluate and implement technology solutions (e.g., project-management platforms, event software) that improve departmental efficiency and data accuracy.
    • Interface with the Marketing and Communications team to ensure Breaktime’s agency website and social media platforms are capable of accepting donations.
    • Coordinate with vendors to ensure needs are met and contracts are fulfilled.
  • Cross-Functional Collaboration (Ongoing)
    • Liaise with Finance (reconciliations), Communications (event collateral, digital promotion), and Programs (impact metrics) to ensure aligned messaging and donor stewardship.
