Job Title: Administrative Assistant
Shift: M-F 1st Shift
Notes:
- Ideally have someone start on or before September 21st
- Work Schedule: 40 hours/week 830-5pm

Job Summary:
The Administrative Assistant will provide general administrative support to the Office of the Dean. This is a front of house position and interact with staff, faculty and occasionally students. Duties include organizing and scheduling meetings, managing and troubleshooting meeting technology, maintaining office equipment, generating purchase orders, reconciling expenses, email communications, and ordering office supplies. The Administrative Assistant may assist with events, as required.
Minimum Qualifications:
- Knowledge of office administration practices and processes; Proficiency with MS Office products, including Microsoft Word, Excel, PowerPoint and Outlook and Teams.
- Skills required include ability to plan, organize and set priorities; time management, attention to detail, interpersonal and written communication skills.
- Ability to carry out special assignments by completing activities, monitoring progress, and ensuring work is completed accurately and on time.
- Skills and knowledge for this position are typically acquired through previously relevant experience.
- The applicant should have no less than 2 years’ experience be comfortable interacting with a wide variety of people and flexible in skills.
Key Responsibilities & Accountabilities:
- Point of Contact / Customer Service: Serves as the department’s initial and key point of contact for inquiries from staff, faculty and occasionally students. Will familiarize policies and processes. Acquires and applies knowledge of the department to provide information on routine matters and escalates more serious matters.
- Provide general administrative and operational support which may include organizing and scheduling meetings, maintaining office equipment, generating purchase orders, reconciling corporate credit cards, email communications, and ordering office supplies. This position is responsible for keeping the office, kitchenette in a presentable manner. (70%)
- On occasion, may help with events and coordination of activities either with the event planner or independently. (7%)
- Will hire (with guidance) work study students during term time, will be responsible for assigning hours/schedules and signing off on time sheets. (3%)
- Will be back up to Calander management to Executive Assistant and work with EA on various projects as needed. (20%)
