Job Description
A growing Biotech company in Cambridge, MA is hiring their first Executive Assistant — a foundational role for someone who wants to build the administrative function from the ground up rather than step into an existing playbook. You'll work directly with executives across the company, so this is less "support one person's calendar" and more "become the operational backbone the whole team relies on." The right candidate is a true generalist: comfortable switching between high-level judgment calls and hands-on logistics, unshakeable on the details, and confident enough to prioritize independently when priorities compete.

What you'll do:

- Own and coordinate multiple executive calendars, keeping competing priorities straight.
- Book travel and manage full itineraries, door to door.
- Triage and manage internal and external communications — email, conference calls, and everything in between.
- Run the administrative side of the office: reception, phones, mail and distribution, records retention, supplies, security systems, and office equipment like phones and printers.
- Plan and staff both on-site and off-site meetings, large and small.
- Draft responses to written and email correspondence on behalf of the team.
- Handle confidential information with discretion while working closely with employees and consultants.
- Use sound judgment to act within established procedures — knowing when to follow the playbook and when to make the call yourself.
- Put together and deliver presentations on project status and schedules for technical audiences.
- Support select finance functions, partnering with the company controller on payroll and payables.

What you bring:

- A BA/BS or equivalent.
- 8+ years of relevant administrative experience.
- Prior management experience.
- A track record of handling confidential information with discretion.
- A personable, professional presence with people at every level of the company.
- Strong working knowledge of Microsoft Office — especially Outlook, PowerPoint, and Excel.
- Sharp written and verbal communication skills.
- A reputation for being dependable and trustworthy — this role runs on it.
- Extreme attention to detail and the ability to multitask and prioritize without losing the thread.
