Borg Design is seeking an organized, dependable, and people-focused HR, Finance & Office Administrator to support the day-to-day administrative needs of our growing precision manufacturing company.


Borg Design is a third-generation, family-owned CNC machining company serving the aerospace, defense, medical, automotive, and industrial markets. We employ approximately 50 people, including a 15-person office team made up of engineering, quality, purchasing, quoting, finance, project management, and administrative personnel.


This position will support several important business functions, with a primary focus on human resources administration, accounts payable and accounts receivable support, payroll assistance, employee benefits, on boarding and off boarding, and general office coordination.


The ideal candidate is highly organized, professional, approachable, and comfortable handling a variety of responsibilities in a growing small-business environment.


Key Responsibilities


Human Resources and Employee Support


  • Coordinate the on boarding process for new employees, including required documentation, system setup, benefits information, orientation, and internal communication.
  • Coordinate employee off boarding, including documentation, benefits notifications, equipment collection, and system access changes.
  • Assist with employee benefits administration, enrollment, renewals, employee questions, and communication with benefit providers.
  • Maintain accurate and confidential employee records.
  • Help employees understand available benefits, policies, procedures, and administrative requirements.
  • Assist with recruiting activities, including job postings, applicant communication, interview scheduling, and new-hire documentation.
  • Support employee training records, policy acknowledgments, performance review administration, and other HR-related programs.
  • Assist management with maintaining consistent and professional HR practices.
  • Serve as an approachable point of contact for routine employee questions and direct more complex matters to management or outside HR resources.

Finance and Payroll Support


  • Provide support and backup for accounts payable and accounts receivable activities.
  • Enter invoices, organize supporting documentation, and assist with payment processing.
  • Assist with customer invoicing, payment tracking, collections follow-up, and account reconciliation.
  • Provide backup support for QuickBooks and routine bookkeeping activities.
  • Assist with payroll preparation, employee time records, deductions, changes, and payroll-related documentation.
  • Coordinate with management, payroll providers, accountants, and other outside financial partners as needed.
  • Maintain organized and accurate financial and administrative records.

Office Administration and Coordination


  • Help manage the day-to-day administrative needs of a 15-person office.
  • Coordinate meetings, calendars, conference rooms, visitors, and company events as needed.
  • Assist with insurance renewals, benefits renewals, business registrations, and other recurring administrative requirements.
  • Purchase office supplies, employee items, and other non-technical materials.
  • Help maintain an organized, professional, and well-functioning office environment.
  • Support company communications, internal announcements, and administrative projects.
  • Work collaboratively with engineering, purchasing, quoting, quality, finance, production management, and senior leadership.
  • Identify opportunities to improve office systems, organization, communication, and administrative processes.
  • Provide general administrative support to company leadership and other departments when needed.

Qualifications


  • Prior experience in human resources administration, office management, bookkeeping, payroll, accounts payable, accounts receivable, or a related administrative role.
  • Experience supporting multiple business functions in a small or mid-sized company is strongly preferred.
  • Working knowledge of QuickBooks or similar accounting software.
  • Experience with payroll or HR information systems is preferred. Experience with Paylocity is a plus.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple responsibilities, deadlines, and recurring tasks.
  • Strong written and verbal communication skills.
  • Professional, approachable, and comfortable working with employees at all levels of the company.
  • Ability to handle employee, payroll, and financial information with discretion and confidentiality.
  • Proficiency with Microsoft Outlook, Word, Excel, and general office technology.
  • Willingness to learn, take ownership, and assist wherever needed.

  • New employees experience an organized and welcoming on boarding process.
  • Employee records, benefits information, and HR documentation are accurate and current.
  • Payroll, accounts payable, and accounts receivable processes receive dependable backup support.
  • Employees know where to go for routine HR and benefits questions.
  • Office activities, meetings, renewals, and administrative deadlines are well organized.
  • Management receives reliable follow-through without needing to repeatedly check on assigned tasks.
  • The office operates more efficiently because important administrative responsibilities are consistently managed.
