Overview
We are seeking a Construction Project Coordinator to our team.
What you’ll do:
- Answering incoming phone calls
- Handle customer inquiries in an efficient, timely and customer-focused manner, including customer complaints from start to finish
- Provide coordination, monitoring and communication in Crew Control, including scheduling and dispatching
- Provide customer feedback and updates on project status, via Crew Control, email and phone calls
- Own and maintain the accepted awarded documentation
- Correspondence with customers regarding schedule
- Coordinate deposits and payments
- Obtain and file Dig Safe, bonds and permits for projects, when applicable
- Set up estimator’s appointments
- Work closely with other team coordinators with job status updates
- Maintain records and track changes of all customer data, job and personnel costs, project status, equipment utilization, etc by utilizing relevant company software
- Finding subcontractors when applicable for jobs and ensuring their work is completed to standard.
- Invoicing for deposits and final payments
- Assistant to President when needed to complete tasks including but not limited to: drafting quotes, measurements of properties intel/square takeoff, job costing, creating spreadsheets
- Work with the superintendent to set the schedule, ensure trucking notification, and make sure the crews have what they need for each day
- Work with the COO to obtain more detailed information about jobs, create phasing maps for the crews, and scheduling networking meetings
- Develop creative solutions to complex customer requests and maximize customer satisfaction
- Perform other project administrative support tasks as required
You’ll be a great fit if you have:
- Proficient in using phone systems and handling multiple phone lines
- Excellent communication and high level organizational skills
- Scheduling experience
- High level computer skills
- Attention to detail
- Ability to maintain professionalism with a positive attitude in a fast paced & demanding environment
- Quickbooks experience a plus
- Hubspot experience a plus
