Employment Type: Full-Time (40 hours/week)
Schedule: Monday-Friday | 8:00 AM-4:00 PM (Start time between 7:30 AM-8:00 AM)

In this role, you'll serve as the first point of contact for service members, veterans, and their families, providing exceptional customer service while ensuring critical administrative functions are completed accurately and efficiently.

What You'll Do

As the Front Desk Administrative Support Specialist, you will provide reception, customer service, scheduling, and administrative support for the Military & Family Readiness Center.


Key Responsibilities

  • Welcome visitors and answer incoming telephone calls in a professional, courteous manner.
  • Determine customer needs and direct clients to the appropriate M&FRC staff member or program.
  • Schedule appointments, workshops, and classes for Military & Family Readiness Center programs.
  • Provide accurate information regarding M&FRC services, policies, and procedures.
  • Enter and maintain client information in the Air Force Family Integrated Results Statistical Tracking (AFFIRST) system.
  • Input Transition Assistance Program (TAP) data into AFFIRST and Department of Defense TAP systems.
  • Send reminder emails to clients prior to scheduled classes and workshops.
  • Generate monthly client usage reports and maintain accurate attendance records.
  • Maintain an organized, welcoming reception area, including informational materials and publications.
  • Report facility or equipment issues to M&FRC management.
  • Perform light housekeeping of the reception area, including organizing materials, light dusting, and minimal vacuuming as needed.
  • Ensure data entry is completed with a minimum of 85% accuracy within two business days.
  • Protect sensitive customer information and comply with all security and privacy requirements.

Requirements:

Must-Have

  • Minimum 1 year of customer service experience in an office, administrative, or client-facing environment.
  • Experience performing administrative support and clerical duties.
  • Proficiency with:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft Outlook
    • Microsoft PowerPoint
    • Microsoft Windows
    • Microsoft Edge or Google Chrome
  • Strong data entry skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask while maintaining professionalism in a busy office environment.
  • Ability to work independently and prioritize assignments.
  • Outstanding customer service and interpersonal skills.
  • Strong organizational and time management abilities.
  • High level of professionalism and discretion.
  • Ability to communicate effectively with diverse populations.
  • Ability to learn government-specific software applications.
  • Strong problem-solving skills and attention to detail.
  • Ability to handle confidential information appropriately.
  • Must be able to obtain and maintain a Common Access Card (CAC), including successful completion of required background screening and fingerprinting.

Preferred Qualifications

  • Experience supporting military personnel, veterans, or government agencies.
  • Familiarity with military culture and protocol.
  • Knowledge of military family support programs.
  • Experience working with web-based databases or case management systems.
  • Experience scheduling appointments or managing calendars.

Work Environment

  • Fully on-site position located at Hanscom Air Force Base.
  • Professional office environment within the Military & Family Readiness Center.
  • Occasional situational telework may be authorized if directed by government guidance.
