Job Description
We are seeking a highly organized, detail-oriented Benefits & Office Manager to join our team. This is a unique, multifaceted role for someone who enjoys being the go-to resource for employees, working closely with HR and Accounting, and keeping the office running smoothly.
The Benefits & Office Manager will serve as the primary point of contact for employee benefit programs, working closely with established brokers, vendors, employees, HR, and Accounting. Benefits responsibilities will include administration of medical, auto, 401(k), leaves of absence (LOAs), and other company-sponsored programs.
In addition to benefits administration, this position will provide broad administrative and office management support to the Controller and HR Director. The day-to-day responsibilities will vary and may include everything from coordinating meetings and events to managing office supplies and supporting special projects.
Key Responsibilities...
Benefits Administration
- Serve as the primary contact for employees regarding benefit programs and questions.
- Administer medical, 401(k), auto, LOA, and other employee benefit programs.
- Work closely with benefits brokers, insurance carriers, vendors, and internal staff.
- Coordinate enrollments, changes, terminations, and other benefits-related transactions.
- Maintain accurate employee benefit records and documentation.
- Assist with benefit communications and annual enrollment activities.
- Partner with HR and Accounting to ensure accurate and timely processing.
Office Management & Administrative Support
- Provide day-to-day administrative support to the Controller and HR Director.
- Manage the reception area and help ensure a professional, welcoming office environment.
- Order and maintain office supplies and coordinate with vendors as needed.
- Assist with meeting, event, and company activity coordination.
- Support executive leadership meetings and other internal meetings.
- Assist with special projects and administrative initiatives across HR, Accounting, and Operations.
- Pitch in wherever needed to help keep the organization running efficiently.
What We're Looking For...
The ideal candidate is organized, proactive, resourceful, and comfortable wearing many hats. You enjoy being the person others can rely on, can move easily between benefits administration and general office responsibilities, and understand that priorities can change throughout the day.
You will be successful in this role if you:
- Have experience with employee benefits administration and/or HR administration.
- Are highly detail-oriented and comfortable handling confidential information.
- Have excellent organizational and follow-through skills.
- Are comfortable communicating with employees, brokers, vendors, and leadership.
- Can work independently while also being a strong team player.
- Are professional and comfortable participating in Executive Leadership meetings.
- Take initiative and look for ways to make things more efficient.
- Have a "no job is too big or too small" attitude.
- Are willing to jump in and help wherever needed — whether that's coordinating an important project or running an occasional errand.
- Demonstrate sound judgment, discretion, and professionalism.
This is an excellent opportunity for someone who enjoys a varied role with visibility across the organization and wants to be a trusted resource to both employees and leadership.
