Bilingual Executive Assistant to CEO (Spanish Required)

An established nonprofit organization is seeking a bilingual (Spanish/English) Executive Assistant to support its CEO in a highly visible, fast-paced role. This position will serve as a key partner to the executive office, ensuring schedules, communications, and organizational priorities are managed efficiently across both English- and Spanish-speaking stakeholders.

This role requires someone who is organized, proactive, and comfortable operating at a high level while maintaining discretion and professionalism.

Standard hours are Monday through Friday, with occasional evening or weekend availability for events or special initiatives.


Key Responsibilities

  • Manage and maintain the CEO’s calendar, ensuring scheduling accuracy and preventing conflicts
  • Monitor and organize executive email communications with a high level of discretion, including Spanish-language correspondence
  • Serve as a liaison between the CEO and external stakeholders, including media contacts, community organizations, board members, and partners in both English and Spanish
  • Manage shared inboxes, route inquiries appropriately, and ensure timely responses in both languages
  • Coordinate logistics for community engagements, workshops, and presentations, including Spanish-speaking audiences
  • Assist with external communications, including press materials, social content, and marketing-related information in collaboration with the marketing team (bilingual as needed)
  • Maintain organized digital filing systems, communication logs, and databases
  • Support board members and leadership groups with administrative coordination as needed
  • Assist with special projects and initiatives requested by executive leadership
  • Help ensure branding consistency for presentations and marketing materials


Qualifications

  • Fluent in Spanish and English (written and verbal) required
  • Prior experience supporting C-level leadership or senior executives strongly preferred
  • Strong organizational and calendar management skills
  • Excellent written and verbal communication skills in both languages
  • Ability to maintain confidentiality and exercise sound judgment
  • Comfortable managing multiple priorities in a fast-paced environment
  • Proactive mindset with the ability to anticipate needs and think ahead
