Job Title: Concierge - Level 1

Job Description

The Concierge - Level 1 provides a welcoming, organized, and service-oriented experience for guests, visitors, and employees within an office environment. This part-time role focuses on managing café and pantry areas, coordinating meeting spaces, supporting visitor registration, and delivering high-quality customer service to ensure a smooth and positive workplace experience.

Responsibilities

  • Manage café and pantry areas to ensure they remain clean, well-organized, and adequately stocked throughout the day.
  • Oversee breakroom operations and help maintain a positive and comfortable workplace environment.
  • Assist with breakfast and lunch orders, including coordinating with vendors and catering providers to ensure timely and accurate delivery.
  • Manage vendor relationships and coordinate service requests, following up to ensure services are completed as expected.
  • Handle scheduling and calendar-related administrative support, including organizing appointments and internal events as needed.
  • Coordinate conference room bookings and ensure meeting spaces are prepared, clean, and equipped with necessary supplies and equipment.
  • Manage visitor registration and check-in/check-out processes, providing a professional and friendly guest experience.
  • Provide general administrative support, including handling office operations tasks and responding to day-to-day requests.
  • Support workplace experience initiatives to promote smooth office operations and enhance the overall employee and guest experience.
  • Assist guests, customers, and tenants with business and personal needs, such as making reservations, scheduling transportation services, and providing recommendations on local attractions.
  • Perform other administrative tasks as assigned to support the office and workplace services team.

Essential Skills

  • At least 0–2 years of experience in customer service, receptionist or client services roles.
  • At least 6 months of experience in a similar concierge role or closely related position.
  • Demonstrated ability to deliver professional, friendly, and responsive customer service in a fast-paced environment.
  • Experience managing vendor relationships and coordinating service requests.
  • Strong organizational skills with the ability to manage multiple tasks, such as scheduling, room bookings, and pantry oversight.
  • Basic computer proficiency, including the ability to use standard office software and tools.
  • Experience using Microsoft Office applications.
  • Effective verbal and written communication skills for interacting with guests, tenants, vendors, and internal teams.
  • Ability to handle administrative tasks accurately and maintain attention to detail.
  • Education level of at least a high school diploma or GED.

Additional Skills & Qualifications

  • Experience in office and soft services or workplace experience support is beneficial.
  • Comfort working in a guest-facing role that involves regular interaction with visitors and employees.
  • Ability to prioritize tasks and manage time effectively within a part-time schedule.
  • Strong problem-solving skills and the ability to respond calmly and professionally to unexpected situations.
  • Interest in creating a welcoming environment and enhancing the overall workplace experience.
  • Willingness to support a variety of administrative and operational tasks as business needs evolve.

Work Environment

This is a part-time, in-person role based in a professional office setting, working approximately 20 hours per week during morning hours (generally between 7:30/8:00 a.m. and 12:00 noon). The position is located in a modern office building and involves regular work in café, pantry, breakroom, and conference room areas. You will use standard office technologies, including computers and Microsoft Office applications, while interacting frequently with guests, tenants, vendors, and colleagues. The environment is service-oriented and collaborative, with a focus on maintaining a clean, organized, and welcoming workplace. Professional attire is expected to reflect the front-facing nature of the concierge role.

Job Type & Location

This is a Contract position based out of Boston, MA.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
