Our client, a highly respected private equity firm in Boston, is seeking an experienced and polished Office Manager to join their team on a six-month temporary basis (covering an employee's leave). This is an excellent opportunity for a highly organized, proactive professional who enjoys creating a seamless office environment and supporting a high-performing team. The Office Manager will oversee the day-to-day operations of the firm's Boston office, serving as a welcoming point of contact for employees, clients, and visitors while ensuring the office runs efficiently and professionally. The ideal candidate will be personable, detail-oriented, discreet, and comfortable working in a fast-paced, professional environment where priorities can shift quickly.

Responsibilities

  • Manage the day-to-day operations and organization of the Boston office
  • \n

  • Serve as the primary point of contact for office-related needs, vendors, building management, and service providers
  • \n

  • Greet and assist clients, visitors, and guests in a professional and welcoming manner
  • \n

  • Coordinate office supplies, equipment, mail, deliveries, and general office services
  • \n

  • Manage conference rooms, meeting spaces, and office calendars as needed
  • \n

  • Coordinate catering, lunches, team events, and other office functions
  • \n

  • Assist with scheduling and logistical support for meetings and internal events
  • \n

  • Coordinate travel or other administrative arrangements as needed
  • \n

  • Partner with building management on maintenance, repairs, access, security, and other facilities-related matters
  • \n

  • Maintain a polished, organized, and welcoming office environment
  • \n

  • Support senior executives and investment professionals with occasional administrative needs
  • \n

  • Handle confidential and sensitive information with a high degree of discretion
  • \n

  • Assist with special projects and other administrative responsibilities as needed
  • \n

Qualifications

\n

    \n
  • 2+ years of experience in office management, office administration, executive support, or a related role
  • \n

  • Experience in a professional services, financial services, private equity, investment banking, law, or similar environment preferred
  • \n

  • Exceptional organizational and time-management skills
  • \n

  • Strong attention to detail and follow-through
  • \n

  • Professional, polished, and personable communication style
  • \n

  • Ability to anticipate needs and take initiative without extensive direction
  • \n

  • Comfortable managing multiple priorities in a fast-paced environment
  • \n

  • Strong judgment and discretion when handling confidential information
  • \n

  • Proficiency with Microsoft Office and standard office technology
  • \n

  • Ability to work independently while also being a collaborative member of a small, high-performing team
