Job DescriptionPremier Pain Management is seeking a reliable, detail-oriented Part-Time Medical Secretary Scanner to join our medical office team. This position is responsible for accurately scanning, indexing, and organizing patient medical records and other clinical documents into the electronic medical record (EMR) system.

Responsibilities

  • Scan and upload patient medical records, referrals, reports, and other clinical documents into the EMR system.
  • Accurately index and attach documents to the correct patient chart.
  • Review scanned documents for completeness, clarity, and accuracy.
  • Organize and maintain electronic medical records according to office procedures.
  • Ensure documents are filed under the appropriate document type and provider.
  • Identify and report any discrepancies, duplicate records, or documents that cannot be properly matched to a patient.
  • Handle patient information with strict confidentiality and in accordance with HIPAA regulations.
  • Assist with maintaining an organized and efficient medical records workflow.
  • Complete assigned scanning projects and daily tasks within established timeframes.
  • Communicate with medical assistants, providers, and front-office staff as needed regarding missing or incorrectly filed documentation.
  • Perform other administrative duties related to medical records as assigned.

Qualifications

  • Previous experience in a medical office, medical records, or administrative setting preferred.
  • Experience working with an electronic medical record (EMR) system preferred.
  • Strong attention to detail and accuracy.
  • Ability to work independently and stay organized.
  • Ability to maintain confidentiality and follow HIPAA requirements.
  • Basic computer skills and familiarity with scanning and electronic document management.
  • Strong communication and organizational skills.
  • Dependable, punctual, and able to manage repetitive tasks efficiently.
  • Ability to work in a fast-paced medical office environment.

Preferred Skills

  • Medical terminology knowledge.
  • Previous experience scanning and indexing medical records.
  • Experience with Athenahealth or another EMR system.
  • Ability to recognize different types of clinical documentation and route documents appropriately.
