Position Summary
We’re seeking a bilingual (English/Spanish) receptionist to manage front desk operations and assist with client intake. This in-person role is ideal for someone who thrives in a fast-paced legal environment and wants to make a difference for clients during challenging times.
Key Responsibilities
Front Desk
<ul>
<li>Greet clients, visitors, and vendors in English and Spanish</li>
<li>Answer and route calls promptly</li>
<li>Handle inquiries via phone, email, and in person</li>
<li>Direct visitors to the appropriate staff</li>
<li>Maintain an organized and welcoming reception area</li>
</ul>
Client Intake &amp; Case Support
<ul>
<li>Conduct client intakes for new personal injury cases</li>
<li>Enter client information into CRM and case management systems</li>
<li>Open new claims and prepare letters of representation</li>
<li>Request medical records, evidence, and PIP applications</li>
<li>Follow up with potential clients to improve conversion rates</li>
</ul>
Administrative Tasks
<ul>
<li>Manage executive calendar and coordinate meetings</li>
<li>Process and distribute mail, faxes, and correspondence</li>
<li>Maintain organized digital and physical files in HubSpot</li>
<li>Schedule depositions, mediations, and client appointments</li>
<li>Coordinate with medical providers for appointment confirmations</li>
</ul>
Requirements
<ul>
<li>Bilingual proficiency in English and Spanish (written and spoken)</li>
<li>Associate degree or higher</li>
<li>Previous customer service or receptionist experience</li>
<li>Strong organizational skills and attention to detail</li>
<li>Empathetic, professional communication style</li>
<li>Proficiency in Microsoft Office Suite</li>
</ul>
Preferred
<ul>
<li>Legal or personal injury experience</li>
<li>Familiarity with CRM systems (HubSpot a plus)</li>
<li>Understanding of legal processes</li>
