Advancement Assistant

Reports To: Directors of Advancement and Enrollment

Overview: Stoneleigh-Burnham School (SBS) seeks a detail-oriented, organized, and proactive professional for the position of Advancement Administrative Assistant. This role provides critical operational support to the Advancement Team, which encompasses both the Admissions (Enrollment) and Development (Fundraising and Alumnae Relations) offices.
The ideal candidate is a "systems thinker" who enjoys managing data, coordinating logistics, and providing a warm, professional first impression for prospective families and donors alike.
Schedule: Full-time, flexible scheduling available, with occasional required hours during major campus events (e.g., Open Houses, Reunion Weekend).
Key Responsibilities:
1. Admissions & Enrollment Coordination

Event Logistics: Assist in the setup and registration for Admissions Open Houses and shadow days.

Fair Representative: Assist in travel to school Fairs and in representation of Stoneleigh-Burnham School
2. Development & Alumnae Support

Database Raiser’s Edge: Maintenance of Database

Stewardship Support: Coordinate the "thank you" process, including prepping student-signed notes and tracking donor recognition milestones.

Research Assistance: Perform basic biographical research on prospective donors and alumnae using internal records and public tools.

Alumnae Outreach: Assist in updating contact information for the alumnae database through LinkedIn and social media research.

Assist with mailings, acknowledgement letters, and communications

Event Logistics: Assist in the setup and registration for Alumnae Events and SBS Traditions
3. General Office Operations

Customer Service: Serves as the initial point of contact for the school, greeting visitors, managing phone calls, and directing inquiries professionally and courteously.

First Impressions: Assists with Maintaining the front office, ensuring a clean, organized, and welcoming environment, including updated daily informational screens.

Front Office Support: Assists with handling incoming and outgoing mail and deliveries.

School Calendar: Maintain the school calendar and sync with website

General Website Support: Update website templates as needed.

Office Organization: Manage office supplies for the Advancement team and ensure all marketing collateral (brochures, giving envelopes) is well-stocked.

Communication: Draft and proofread professional correspondence, emails, and meeting minutes.
Qualifications, Skills and Requirements

Bachelor's Degree Required

Must have Valid Driver’s License

Technical Proficiency: Strong experience with Microsoft Office (Excel/Word) and Google Workspace. Previous experience with a CRM or database (e.g., Raiser’s Edge, Salesforce, or Veracross) is a significant plus.

Attention to Detail: A high level of accuracy in data entry and proofreading is essential.

Interpersonal Skills: Ability to interact professionally and warmly with a diverse range of stakeholders, including teenage students, parents, and high-net-worth donors.

Discretion: Absolute commitment to maintaining the confidentiality of sensitive financial and student records.

Adaptability: Comfort jumping between different types of tasks in a fast-paced school environment.

Availability and willingness to work some evenings and weekends as needed to support School events and fundraising activities.
