Patient Experience Director & Treatment Coordinator
Job Description
Job Description
At Coastal Dental Arts, we don’t just fix smiles - we restore confidence. Many of our patients need life-changing restorative and surgical care, but fear, anxiety, and confusing insurance policies often stand in the way.
We are looking for an exceptional communicator who pairs a five-star hospitality mindset with sharp financial stewardship. In this hybrid role, you are both an advocate and a closer—guiding patients from their nervous first step through treatment presentation, financing, and insurance coordination with complete clarity and warmth.
What You’ll Do
- The Concierge Experience: Welcome high-value cases, discover their concerns, ease dental anxiety, and elevate the standard for every patient touchpoint.
- Treatment Presentation & Closing: Sit down post-exam to translate clinical recommendations into clear next steps, overcome objections, present payment plans (like CareCredit), and secure confident treatment commitments.
- Insurance Navigation: Verify benefits proactively, calculate accurate out-of-pocket estimates, and demystify confusing copays so patients face zero financial surprises.
- Billing & Claims Flow: Submit clean electronic claims daily, attach clinical narratives/X-rays, follow up on aging claims past 30 days, and maintain clean ledgers with predictable accounts receivable.
- Ongoing Patient Advocacy: Walk beside patients through every stage of their treatment, serving as their dedicated champion and financial guide.
Who Fits Best
- High EQ & Connection: You read the room instantly, speak with polished warmth, and make financial conversations feel like collaborative problem-solving instead of a sales pitch.
- Detail-Driven & Systematic: You love clean systems, accurate notes, and the puzzle of maximizing dental insurance benefits to help patients access care.
- Backbone & Heart: You are comfortable discussing money, asking for payment commitments, and resolving billing questions firmly yet with deep empathy.
- Background: Experience in treatment coordinating, CDT dental billing, high-end guest services, or luxury retail/hospitality is ideal. We will train the right candidate on our practice systems.
Why You’ll Love It Here
- Predictable Lifestyle: Keep the meaningful human connection of hospitality without the late nights, weekend shifts, or holiday chaos.
- Uncapped Upside: Base plus performance-based incentives tied directly to case acceptance and practice success.
- Great Benefits: Fully covered LifeTime Fitness membership, 401(k) matching, dental coverage, uniform allowance, paid time off, and quarterly team celebrations.
- Real Leadership: Work closely with Dr. Brzoza in a growth-minded practice built on open communication and zero office drama.
