What You'll Do
As a Medical Records & Administrative Coordinator, you'll play a vital role in supporting patients, physicians, and healthcare staff by maintaining accurate medical records, coordinating documentation, and providing exceptional administrative support.
Key Responsibilities
Health Information Management
- Prepare, scan, index, and maintain patient health records within the Electronic Health Record (EHR) system.
- Retrieve, organize, and process discharged patient records.
- Ensure medical records are complete, accurate, and properly filed.
- Support internal and external record requests and audits.
- Maintain a high level of accuracy and attention to detail.
Administrative Support
- Coordinate provider meetings, prepare agendas, and record meeting minutes.
- Assist with provider scheduling updates and communication.
- Maintain reports, dashboards, and departmental tracking tools.
- Process incoming and outgoing mail, messages, and department correspondence.
- Support leadership with various administrative projects and operational initiatives.
Customer Service
- Serve as the primary point of contact for incoming department calls and visitors.
- Assist patients, physicians, and staff professionally and courteously.
- Route inquiries to the appropriate departments while ensuring timely follow-up.
- Maintain a positive, service-focused experience for every customer.
Documentation & Compliance
- Coordinate completion of physician documentation and required signatures.
- Ensure accurate patient billing information is submitted appropriately.
- Monitor incomplete records and communicate outstanding documentation needs.
- Maintain strict compliance with HIPAA and patient confidentiality standards.
Qualifications
Required
- Minimum 3 years of healthcare office experience
- Strong administrative, organizational, and multitasking skills
- Excellent verbal and written communication abilities
- Experience working with Electronic Health Records (EHR)
- Proficiency with Microsoft Office and general computer applications
- Ability to maintain accuracy while managing multiple priorities
- Strong customer service and interpersonal skills
Preferred
- Experience in Health Information Management (HIM), Medical Records, Medical Office Administration, or Hospital Administration
- Experience supporting physicians or clinical providers
- Knowledge of medical terminology and healthcare documentation processes
