What you’ll do:
Your day to day will include processing invoices, managing calls from owners, brokers, banks and tenants, filling out appropriate paperwork for corporate administrative charges, preparing and sending mass mailings, and maintaining property files. You may also be asked to attend annual meetings for some properties within your portfolio. 
Customer Service: Communicate effectively with Account Executives and Accountants in-house. Respond in a timely manner to emails and phone calls from owners, brokers, banks and tenants. 
Administrative: Mailings using mail merge methods. General correspondence to owners and tenants (violations, fines, invoices and late letters). Process invoices for payment. Research using Yardi accounting software. 
Organization: Technical and analytical. Methodical work output so that job routines can be completed on time. Maintain Property files. Complete set of procedures and tasks before new ones are begun. 
Skills/Experience: Proficient in Microsoft Office, Yardi knowledge is a Plus.

Responsibilities
This position serves as a vital operational and administrative liaison within the Commercial Banking division. The role is responsible for ensuring the accurate, timely, and compliant execution of all phases of the commercial loan documentation and closing process. The Specialist partners closely with Commercial Bankers, Loan Operations, Legal Counsel, and external stakeholders to drive exceptional client service, mitigate risk, and uphold operational efficiency.
Essential Responsibilities:
<ul>
<li>Act as a lead coordinator for commercial loan closings by preparing, reviewing, and validating closing documentation packages to ensure all compliance and policy requirements are satisfied.</li>
<li>Serve as a documentation liaison between Commercial Banking Officers and Loan Operations, ensuring seamless post-closing follow-up and resolution of outstanding conditions or documentation gaps.</li>
<li>Develop internal and external communications including board-level memoranda, legal correspondence, and customer-facing letters.</li>
<li>Maintain sensitive financial records and client files in compliance with data governance and bank confidentiality standards using enterprise document management systems.</li>
<li>Analyze, prepare, and distribute complex reports for executive review, including materials for internal audit and Board of Director review.</li>
<li>Support commercial customers with high-touch service regarding loan inquiries, transaction execution, and account maintenance.</li>
<li>Manage ledger entries and ensure accurate processing of commercial loan transactions, including payments, deposits, and internal transfers.</li>
<li>Provide operational support to department leadership through special projects, process enhancements, meeting coordination, and strategic initiatives.</li>
<li>Other department duties include research, organizing meetings, making reservations and special projects as needed</li>

Qualifications
Education, Training and Requirements:
<ul>
<li>Associate’s degree in Business, Finance, or a related field preferred. High school diploma required with a minimum of one (1) year of specialized post-secondary training or equivalent professional certification. All applicants must be 18 years of age or older.</li>
</ul>
Skills:
<ul>
<li>Typing, PC proficiency (with Microsoft Office Products and loan documentation software); Strong written and oral communication skills, interpersonal skills, organizational skills. In depth Knowledge of commercial lending forms, documentation standards, regulatory requirements, and transactional workflows with attention to detail. Ability to interpret and apply commercial credit policies and internal procedures. Familiarity with legal administrative support or financial documentation review is a strong asset.</li>
</ul>
Experience:
<ul>
<li>Minimum of two (2) years of experience supporting Commercial and/or Retail Lending Officers, Loan Operations, or legal professionals (e.g., paralegal or administrative legal assistant), preferably within a banking, finance, or legal services environment</li>
