The primary role of the Front Desk Assistant at Dogs Rock! Vermont is to make sure all of the clients have a positive experience with our company, scheduling all client appointments in a timely manner, and ensuring the completion of all front desk tasks before end of shift. The Front Desk Assistant should be able to work independently and follow protocols and procedures set forth by management, and adhere to company policies. The Front Desk Assistant serves a major role in distributing accurate and timely information to our client base. As a customer service facing position, the Front Desk Assistant should be familiar with customer policies and feel comfortable asserting them as needed.&nbsp;
The Front Desk Assistant will also oversee dog groups as needed as a secondary role within the company.&nbsp;

Responsibilities include:
Front Desk
<ul>
<li>Greeting and checking in clients as they come in for our daycare or day training</li>
<li>Building relationships with clients in person, over the phone, and through on-line communication</li>

<li>Answering phone calls, assisting clients with current and future booking reservations, and providing information about our services</li>
<li>Processing service requests and modifying reservations for daycare, day training, group classes, and private training</li>
<li>Taking payments through our computer system and cash register&nbsp;</li>
<li>Calling local vet offices to confirm vaccination records</li>
<li>Misc. light administrative projects and tasks given by management</li>
<li>Cleaning the front desk area, lobby, and retail area</li>
<li>Working with the facility managers to ensure that the overall flow of the front desk is consistent with our mission and goals</li>

Dog Handling

<li>Proactively managing dog play groups after our in-house training is completed</li>
<li>Adhering as closely as possible the daily schedule for the dogs, under guidance of the operations manager</li>

<li>Record data about dogs and their behavior in internal documents and to management</li>

Job Description
SUMMARY
 This position is for a Front Desk/Data Entry Specialist within the Military &amp; Family Readiness Center (M&amp;FRC) of the 66th Force Support Squadron (FSS) at Hanscom AFB, MA. The Front Desk/Data Entry Specialist will primarily provide reception services and perform clerical and administrative duties. This includes managing telephone calls, greeting visitors, directing clients to appropriate program managers, scheduling M&amp;FRC classes, and providing routine information. A key part of the role involves data entry into the Air Force Family Integrated Result Statistical Tracking (AFFIRST) database and Department of Defense (DOD) Transition Assistance Program (TAP) systems, including scheduling and sending reminders for TAP workshops
 ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
<ul>
<li> Reception Services: Receive telephone calls, greet visitors, ascertain the nature of calls or visits, and direct clients to the appropriate M&amp;FRC staff member. This includes watching for opportunities to raise awareness of M&amp;FRC programs and services.</li>
<li>Scheduling and Information Provision: Schedule clients for M&amp;FRC classes and provide complete and clear information regarding most routine or procedural issues. Specifically for the Transition Assistance Program (TAP), schedule clients for workshops and send reminder emails one week prior to the class start date, or as directed by program managers.</li>
<li>Data Entry and Database Maintenance: Perform various clerical and administrative duties, including entering all required information and data. The contractor must maintain currency within the Air Force Family Integrated Result Statistical Tracking (AFFIRST) database system and input all TAP data and resources into the AFFIRST web application and DOD TAP systems.</li>
<li>Front Desk Management: Maintain the appearance of the Front Desk by aligning chairs, materials, publications, and resources on a daily basis. Report inoperable equipment to M&amp;FRC management.</li>
<li>Reporting: Ensure all clients completely sign-in and generate a monthly client usage report in the format established by M&amp;FRC management. The contractor shall also provide a monthly data entry report to the Chief of M&amp;FRC and the Contracting Officer's Representative (COR) no later than the fifth (5th) working day of the month.</li>
<li>Property Safeguarding: Responsible for safeguarding all Government property provided for contractor use. At the close of each work period, Government facilities, equipment, and materials must be secured according to established procedures.</li>
<li>Compliance: Follow all privacy rules and regulations when handling personal information, including the Privacy Act (5 U.S.C. § 552a), which protects how personal data is collected, used, and shared.</li>
<li>Training and Development: Attend or take training deemed essential or mandatory by Air Force Directives and Instructions or directed by the Military &amp; Family Readiness Center Chief</li>

 SKILLS AND QUALIFICATIONS
<ul>
<li> Data Entry Proficiency: Strong working knowledge and capability to operate data entry device(s) to input lists, records, or other data points into an electronic format.</li>
<li>Software Proficiency: Strong working knowledge of web-based applications (Microsoft Edge/Chrome). Proficiency in Microsoft (MS) Office Suite products, including MS Office Word, MS Office Excel, and MS PowerPoint, is required.</li>
<li>Customer Service Experience: Familiarity with standard concepts, practices, and procedures within a customer support and business environment. A minimum of 12 months (1 year) of prior customer service experience is required.</li>
<li>Judgment and Planning: Ability to rely on experience and judgment to plan and accomplish goals promptly.</li>
<li>Interpersonal Skills: Strong customer service and communication skills are required for the professional environment of the M&amp;FRC.</li>
<li>Cultural Competence: Basic understanding of military protocol, support group organizations, and family systems in a military setting. Possesses the ability to communicate and work effectively with a diverse population</li>
</ul>
 EDUCATION &amp; EXPERIENCE
<ul>
<li>Education: High School Diploma or GED</li>
<li>Experience: A minimum of one year of experience working in customer service is required</li>
</ul>
 SUPERVISORY RESPONSIBILITY
This position has no supervisory responsibility over other personnel.

<li>The work is conducted in the professional environment of the Military &amp; Family Readiness Center (M&amp;FRC).</li>
